I signed up to be a pitch hitter writer and I was wondering if an assignment would be coming soon? Or are writers not really needed atm? I just want to be prepared for how much work I should be expecting.
Hiya! So, generally we contact pinch hitters between the 15th-20th of each month, immediately after check-ins end and we see who made them and who is dropping the event.
We’ve already contacted fill-ins for all of the February drop-outs, but I can pretty much guarantee there will be more people that miss check-ins for March, so you can expect to be contacted around the 15th of next month with a position we have open.
Thanks so much for signing up and being willing to take on a pinch-hitting position closer to the end of the event, we really appreciate it! February had quite a few drop-outs and we were stretched pretty thin to accommodate, so we definitely need as many pinch hitters as we can get just in case next month goes similarly.

Once art is claimed by a writer (I'm planning to write), how to I partner up with a beta? Also, throughout the few months of the art/writing process, will the artist and writer be in contact with each other?
Heya! Writers and betas claim the exact same way, on a live claiming google spreadsheet. They only have access to commenting, not editing, so no worries about someone else erasing your claim because everything will be timestamped and the admins will be the ones officially writing your name into the slot.
Anyway, betas claim live on whichever story they want to beta for. That said, before we make the artist/writer/beta team official, we do ask to confirm that artist and writer are comfortable with the set-up. IF for some reason you do not want a beta, though we strongly recommend that you do have one, then writers do have the option of saying they’d prefer to work alone as long as their artist gives it the okay. In that case, the betas claim is void.
Keep in mind, if you’re a writer/beta who has not submitted any art, you have the option to claim up to three art pieces total (ie write 3 fics, write 2 fics and beta 1, beta 2 fics and write 1) as well as sign up to be a pinch-hitter or back-up in the event of any drop-outs.
Also, there ARE going to be two waves of claiming, so rather than claiming three things as quickly as you can during the first wave, it wouldn’t hurt to keep your options open to see which art drafts will be open to another claiming in the week thereafter!

Yeah, of course! That question on the sign-up form was less a promise and more for us to get an estimate of what numbers we’re working with. You’re welcome to switch down to less and you don’t have to let us know officially. Whatever amount of art you submit by the due date will be what’s entered.
(*likewise, if you signed up for one piece and were struck by another idea, you can enter 2/3 now as long as they’re all in by the due date!)
As a writer, do we have free reign to take the story the way we want based on the art or will the artist be heavily involved in the story process? I don’t have a problem with if they are I’d just like to know ahead of time :)
I guess it depends on the artist you get paired with? When claiming rolls around, each art draft will have some information listed alongside it like stuff the artist does not want included in the story and a summary of what their idea/plot is, so you will have some guidance before you even sign-up as to where to take the story.
That said, after you claim it you will be put into contact with the artist themselves to work together. Some artists were very vague about their idea and want to see where the writer is going to take it, while others have a very specific story in mind and it shows in their descriptions that they’ve put a lot of thought into it! So it’s not so much something the event is monitoring as it is something you and your artist are going to figure out together!
Some will just let you have free-reign with the art and the description, while others will want to be involved in the process. It’s not really our place to speak for them how much say they should have in things, so we ask that all writers be open-minded toward working with their artist partner!
im sorry if this comes off strange, but there are a lot of events and i'm kinda "shopping" to find the right one if that makes sense. i just have a few questions about the running of this if that's ok: how many mods are there for this? what have the mods run before? i've been in some events where half the participants have dropped out late in the game. is there a plan for that? i hope this goes well! thank you for answering! :)
Not strange at all! As a writer myself, I shopped through events for a really long time trying to find one that felt inclusive and friendly, and like something that would be more fun than pressuring. At least to me, those were the most valuable traits. And though some came close to what I wanted, I decided that the best way to capture my idea was to make my own event (with the help of many friends, of course).
Now this answer got kinda crazy long, it’s a bit of an information dump so hopefully that’s what you were looking for here. I’m going to add a read more just to save everyone from the WALL OF TEXT.

We have nine mods, they’re listed on the side of the blog and if you scroll way back there’s actually an introductory post where we all wrote a little blurb about ourselves. We all come from differing timezones (I think the only one we don’t have covered is Australia, sorry Australia), and personally I’m out of school and self-employed so I’m here around the clock to keep up with things.
A couple of us have run/helped run smaller scale events like Christmas giveaways or secret santas (myself included). Almost all of us follow fanfiction libraries very closely so we have a solid idea of what good moderation and bad moderation looks like. And though this is our first time running a big scale event like this, some of us have participated in them before and we’ve all done a LOT of research to see what seems to work the best. And if all else fails, we are friends with moderators from fanfiction libraries or other big bang events, so we have people to ask for help if it truly comes to a point where we can’t figure it out on our own.
I think the most important part of being an event runner is to stay active. We’re not gonna be one of those blogs that just goes ghost between deadlines. We have a discord to keep the community close-knit and we answer asks as promptly as we can, no ask goes unanswered. I’ve definitely seen events fall apart late into the game, obviously we’re hoping that isn’t the case here, but we do have a plan in place just in case.
We are going to open pinch hitter (back-up artist/writers) sign ups once the initial ones close. So on the side of the blog where you see the links to “artist sign-ups” and “writer/beta interest”, those will switch to sign-ups for people who want to fill in in the event of a drop-out artist or writer. Not to mention, a few of our mods have already agreed to be pinch hitters for as many stories as they possibly can, so even if we don’t get a lot of pinch hitter sign-ups we have some solid multi-taskers on the job. Absolutely no one will be left without a partner, no matter how thin we have to stretch ourselves to accommodate for that promise.
Artist pinch hitters will be given the concept the original artist gave us and are free to bring it to life however they see fit, working alongside the original writer of the team of course. Writer pinch hitters will still have the original artist there to speak with, so they’ll be able to start from scratch entirely.
Whew, I think that covers everything. More than anything, we want to create a fun, safe space within the fandom that’s discourse-free and inclusive to all creators regardless of their skill level. So we’re going to be easygoing with everyone because this is ultimately for fun, but we do have rules that people have to stick to or risk being dropped from the event (such as them getting back to us at EACH monthly check-in). Our rules are simple and they’re in place to make sure everything runs smoothly and no one is left feeling disappointed at the end of things.
