How to NOT be a complete ASSHOLE when CALLING a CALL-CENTER
Firstly, and quite honestly the most important tip, HAVE YOUR INFORMATION IN FRONT OF YOU BEFORE CALLING
If you are calling to make a payment have your credit card in your hand, dont make the agent wait for you to gt it out of your wallet or dig it out of your purse
If you are calling a hotel/event/activity about an existing reservation, have your confirmation email/number written down in front of you. Dont make the agent wait while you have to put them on speaker to pull your email up on your phone and then find it
If you are calling for information, directions, or are planning on writing down anything (like a confirmation number) get paper and a pen BEFORE calling
It’s inconsiderate and downright kind of rude to not have these prior. You are calling this person, their job is to help you, not to wait on you while you get your stuff together. Call them when you are PREPARED and READY.
Secondly, LISTEN when the agent is speaking to you
I can’t tell you how many times I have clearly stated instructions or answered a question and the person who called me just gets really quiet before awkwardly going, “Uhh… what?”
It’s one thing when you genuinely dont understand or didn’t hear - It happens, and that representative is there to assist you. However there’s a big difference between needing something elaborated from you having just zoned out
If the agent is having to repeat themselves more than twice you are the problem
Thirdly, know what you need BEFORE calling
If you’re calling a venue, restaurant, or really any type of business that takes reservations - you should NOT ask the agent to “Hold one a minute” while you reconfirm with your party what they want - You do that BEFORE you call.
If you have to go, “Hold on one second,” and confirm how many people are going, what day your party wants, or any other details of the sort you’re the problem
The Fourth and finally thing.. Be Nice!
Remember that these are people doing their job
They are not the company they are employees by and they do not make the rules. I understand wanting to voice your frustrations in certain circumstances however you can do this in a kind and professional manner without verbally attacking the representative.
If you are frustrated to the point where you do want to yell - CALL BACK LATER - Wait until you’ve calmed down and can have a professional conversation
If you cant, for example if it is an urgent matter, keep your cool the best you can and ask for a manager.
