#posting instructions

Before posting begins, The Mods are here to give you a brief run-down of how to post, what to expect, and how to ensure that your recipient actually receives their gift.

Remember that everyone was assigned posting dates - your contribution may not be due the same day that your gift is, and that’s okay.  If you post your creation and don’t see your gift, please be patient - your creator may have requested a later date.  Similarly, if your gift appears early and yours isn’t done, that’s okay too, as long as you post on your assigned date.  By December 31st, everyone should have a gift posted and a gift received.

1. Please make sure that all works end up on AO3 in THIS YEAR’S collection: Winterhawk Wonderland 2023.  It is open and unmoderated, so if you just add your work to it, it will instantly appear! If you’re having trouble adding to the collection, email us with a link to the work ([email protected]), and we’ll take care of it! Not everyone participating in the exchange is on Tumblr, so if you don’t put it in the collection, your recipient may not see it.  If you have forgotten your recipient’s AO3 username, please message the blog or email us so that we can remind you of what it is. You must have an AO3 account to participate in the exchange and your gift must be posted to the AO3 Collection in order to be included in the Masterpost at the end of the event.

1b. If you are making visual art for the exchange and unsure of how to add it to AO3 here is a quick guide on how to embed images and how to add alt text to your image description for accessibility!

1c. If you create your work as a draft on AO3 before your posting date, please make sure to change the date of the work when you post it. Otherwise it will appear on whatever date you created the draft and might be missed!

2. If you choose to post your creation on Tumblr, please feel free to tag us! We love to see your work! There will be a Masterpost at the end of the event with every gift and its recipient! This year we will not be reblogging individual posts. In previous years some of the tagging didn’t work correctly and some works were missed by the Mods because of Tumblr glitching, which led to some hurt feelings and confusion. Additionally, both Mods lead very full lives, making constant monitoring of the tags during the busy posting season nearly impossible. In order avoid confusion, stress, and disappointment, we will collate all Gifts into one Masterpost after the event ends so that everyone can see who created what.

2b. Accessibility: If you are creating visual media, we are highly encouraging all participants to make this as accessible as possible by adding alt text or image descriptions. The Cooper Hewitt guidelines are a good resource for this, and here is a more step-by-step guide to formatting a description. This site is excellent for helping you decide how to describe your work! We know it might be a little intimidating to add this kind of information to artwork, especially if you have never done it before, but image descriptions make your work accessible to many fans who would otherwise be unable to enjoy it.

3. Again, if you’re having trouble meeting your deadline, please let us know so we can work with you as much as possible! Posting dates can be more flexible if you run into trouble or are having difficulties (we know the holidays can be tough!) Just message the blog or shoot us an email and we’ll do our best to help you out. If nothing else, we can let your recipient know their gift is temporarily lost in the post.

4. Finally, if you need to drop out for any reason - we won’t ask why! - please let us know as soon as possible.  We do have pinch hitters, but everyone works best with the most lead time they can manage.  We promise we won’t be mad, but we do want to make sure everyone who participates receives a gift, so it’s best for all of us if you reach out and let us know you just can’t participate.

We can’t wait to see all the great things that you create for this exchange, and thank you for sharing in the giving spirit! Authors and artists! As the deadline for fics and artworks is coming up in a month, we thought it'd be a good time to share some posting instructions for the fest!

Authors

Authors should have their fics uploaded to the Ao3 collection by May 29th, unless an extension has been arranged with the mods. To do so:

Click the following link: https://archiveofourown.org/collections/1dpridefest

Click “Post to Collection”. (If you can’t see this option, make sure you are logged into your Ao3 account and try again.)

Upload your fic as usual, including the rating, all applicable warnings and tags, author’s notes, etc.

Once you click “Post” at the end, your fic will be added to the collection, though it will remain unrevealed until your assigned posting date (which will be emailed to you shortly after the deadline).

On your assigned posting date, you will need to create a fic post, including the link to your fic on Ao3. Make sure to tag us so we can reblog it! If you need help with this, please reach out to the mods.

Artist-author collabs

If you are an artist collaborating with an author, you have two options for how to share your artwork as part of the fest:

Upload the art directly within the fic in Ao3.

Add the art to the fic post that will be published on your assigned posting date.

Please work with the author who you are collaborating with to determine which option you’ll choose.

Standalone artists

Artists that have chosen to create standalone pieces of art (i.e. not in collaboration with an author) will be required to create a tumblr post containing their artwork and publish it on their assigned posting date (which will be emailed to you shortly after the deadline). Make sure to tag us so we can reblog it!

Posting Instructions!!

A quick reminder that posting starts tomorrow! We are so excited to see what you've all made! We know posting can be a bit of a stressful thing for some people, especially for events that have a few requirements on how to do so, so here's a quick list of what you should check for your posts to make sure they’re following the posting requirements. The full list of rules and requirements can be found here, but so long as you hit all of the below, you should be golden for reblogging and official participation! We’ve separated it based on medium to keep things simple. For Written Work:

1. All written work should be posted on Ao3.

2. Use Ao3′s warnings system and check any boxes that apply. Do not use “Chose Not to Use Archive Warnings”

3. If your work contains other common triggers (suicide, child abuse, etc), put that in your “Additional Tags” section. Try to use the tag the appears in the dropdown menu where possible.

4. Add your work to the Player Appreciation Week (player_appreciation_week) collection. If you get lost in how to do this, a mod can also send a request to add it for you to approve.

5. If you’d like your content to be reblogged by the Player Appreciation Week Tumblr, you can either make a Tumblr post following the instructions under “For Other Mediums,” or you can send a mod a DM with a link to your work, any triggers that apply, the corresponding day/character, and a way to contact you if we have any questions. 

For Other Mediums: 

1. All non-written content should be posted to Tumblr. If your medium uses a different site (ie, youtube for AMVs), make a post with a link to the content.

2. If your work contains other common triggers (suicide, child abuse, etc), put that in your tags section. Use the “tw [triggering topic]” format. 

3. Also include the tag #csplayerweek2022 and what day/character(s) your day is for. (Ie, “#day 1 Carmen” or #day 4 Zack and VILE operatives). You’re welcome to include other tags as well.

4. Tag @playerappreciationweek in the body of your post. 5. If your work has any sort of content that you would consider above a T or PG-13 rating, please put it under a ‘read more’ cut. 

Other Important Notes: 

- Make sure your works follows the content requirements (gen, mostly Player centric, focused on the day’s prompt(s) of your choice). - You are welcome to crosspost, so long as you also post to the required platform for your medium. - Posting on the day correlating to your prompt is preferred, but not a hard requirement. - We will be reblogging works the following week as well, in case you are not able to post during the official posting period (February 27th to March 5th). - If your work does not follow the content requirements or is not posted using the above system, the Tumblr page will not reblog it. - The discord server will remain open as a CS platonic creation/brainstorming space (with an emphasis on Player), so DM @rueitae or @sakarrie​ if you’d like that link to join!

Treating is possible in this exchange -- and you don’t have to be signed up for the exchange to treat, although you do need an AO3 account.

Treats are additional gifts for the participants and bring joy! You can create treats at any time until the creator reveals. There are no minimum requirements for treats, and in addition to fic and art, manips and fanvids are also allowed. As with assignments, you have to respect the recipient’s Do Not Wants, and while the optional details are optional, try to create something fitting their listed likes. One treat can only be gifted to one person. The deadline for treating is longer than for main assignments: on August 24th! So you can keep treating after the gifts have been revealed on the 17th, but before the creators are revealed on 24th.

or in the web app here, where you can sort by fandom/genre!

You can browse the list for prompts that catch your eye. Once you create a filling a treat for someone, post it to our ao3 collection! Detailed instructions are under the read more.

(If you’re using the web app, make sure to use the ‘all requests’ tab instead of the ‘grouped requests’ one, as there are participants who requested ‘any fandom’ and those requests won’t be grouped under the individual fandom tag in the grouped view!)

We will reveal fics posted to the collection (LINK HERE).

This post will go through posting to the collection, adding an image to the fic, and uploading/preparing an image for this.

How to add art to your fic:

click the image icon and you will get:

add in a URL of your image (you need to have an image uploaded online - how to get this is later on in this post). Next you pick the dimensions. ***Note I recommend not making the height (the second box) any bigger  than 650-700. Then click OK

You’ll get the image like this.

To adjust the size, you can select it again (in blue) - if it’s not selected you have to click and try to drag the image. Then use the little white square in the corner to adjust the size.

Then you can go to preview it and you will get this!

If you’re pleased you can post.

Uploading an image (ex. IMGUR):  

(Can also be done with a tumblr private post but it reduces the quality. You’d upload an image to tumblr, select post privately, then click that. Then you open the image on your blog -> right click and open in new tab/window -> copy the URL and proceed with that)

2. Add a new post

3. upload your image

4. select your art

5. right click and open in a new tab/window

6. copy the url.

Hello Heartbreakers!

The works due date is fast approaching, this Wednesday, August 5, so we are reaching out with posting instructions! There's a couple ways you can submit your work. 1. Add it to our AO3 Collection. The collection is unrevealed and we'll be revealing the works between 8/11 and 8/17. When you post, be sure to link your gift recipient! 2. If you don't want to submit to the AO3 collection, you can instead submit to our tumblr. Be sure to include who you've created for! You're also welcome to make your own tumblr post once your work is revealed, but please wait until then to share! Works will be revealed between August 11-18. If you need an extension, please email or send us an ask ASAP so we can coordinate with you!
