Hello everyone!

Works are due on the 21st of November, a little under a month away! so here's a posting guide so that you can post those claims whenever you're ready! (And hey, if you want to claim a second prompt when you're done with the first, there's still time!)

Posting on AO3

1. Go to the Finwëan Sibling Prompt Fest 2025 on AO3.

2. Click on the button in the top right corner saying "Post to Collection," and fill the rest of the information in as usual. Alternatively, you can also manually fill in the collection in the "Post New Work" set up.

Your work will automatically stay unrevealed and anonymous until we reveal it over the course of posting.

As a side-note: AO3 dates your work to the day you post it to the collection. On the day your work is revealed by us, you’re welcome to change it to the actual date, so your work will show up at the top of the tag. We will send out a schedule before posting starts, so that you'll know when your work is going to be posted.

Most importantly: once you've posted your work to AO3, please send us an email to [email protected] with the following header:

Title: AO3 username: Rating: Warnings: Pairing/main characters: Medium/Word Count: Summary: AO3 link:

Please put your ao3 username and your prompt number in the subject line!

This is what we will use to share your work on tumblr and in the discord server, so make sure to let us know if you make any changes that you want to see in the announcement.

You are more than welcome to gift your work to the prompter if you've stuck relatively closely to the prompt and know who they are, but you are by no means obligated to do so!

Artists who don't plan on using AO3:

Since we know posting art on AO3 isn't really the easiest thing in the world, artists are not required to do so.

If you do not plan on using AO3 then when the posting schedule goes out you'll be given a date to post your art on your preferred art platform - we assume that's Tumblr but it doesn't have to be if you have a different website you prefer!

- If you're posting on Tumblr, simply @ our blog in your post & we will reblog it.

- If you're posting on a different website then we'd ask that you email us a header (see above) as if you were posting on AO3.

- If the website you're using doesn't provide a link prior to publicly posting then send us the header without the link & on posting day email us the link once you've posted. We'll add the link to the header before sharing on Tumblr.

Authors and artists! As the deadline for fics and artworks is coming up in a month, we thought it'd be a good time to share some posting instructions for the fest!

Authors

Authors should have their fics uploaded to the Ao3 collection by May 29th, unless an extension has been arranged with the mods. To do so:

Click the following link: https://archiveofourown.org/collections/1dpridefest

Click “Post to Collection”. (If you can’t see this option, make sure you are logged into your Ao3 account and try again.)

Upload your fic as usual, including the rating, all applicable warnings and tags, author’s notes, etc.

Once you click “Post” at the end, your fic will be added to the collection, though it will remain unrevealed until your assigned posting date (which will be emailed to you shortly after the deadline).

On your assigned posting date, you will need to create a fic post, including the link to your fic on Ao3. Make sure to tag us so we can reblog it! If you need help with this, please reach out to the mods.

Artist-author collabs

If you are an artist collaborating with an author, you have two options for how to share your artwork as part of the fest:

Upload the art directly within the fic in Ao3.

Add the art to the fic post that will be published on your assigned posting date.

Please work with the author who you are collaborating with to determine which option you’ll choose.

Standalone artists

Artists that have chosen to create standalone pieces of art (i.e. not in collaboration with an author) will be required to create a tumblr post containing their artwork and publish it on their assigned posting date (which will be emailed to you shortly after the deadline). Make sure to tag us so we can reblog it!

Before posting begins, The Mods are here to give you a brief run-down of how to post, what to expect, and how to ensure that your recipient actually receives their gift.

Remember that everyone was assigned posting dates - your contribution may not be due the same day that your gift is, and that’s okay.  If you post your creation and don’t see your gift, please be patient - your creator may have requested a later date.  Similarly, if your gift appears early and yours isn’t done, that’s okay too, as long as you post on your assigned date.  By December 31st, everyone should have a gift posted and a gift received.

1. Please make sure that all works end up on AO3 in THIS YEAR’S collection: Winterhawk Wonderland 2022.  It is open and unmoderated, so if you just add your work to it, it will instantly appear! If you’re having trouble adding to the collection, email us with a link to the work ([email protected]), and we’ll take care of it! Not everyone participating in the exchange is on Tumblr, so if you don’t put it in the collection, your recipient may not see it.  If you have forgotten your recipient’s AO3 username, please message the blog or email us so that we can remind you of what it is. You must have an AO3 account to participate in the exchange and your gift must be posted to the AO3 Collection in order to be included in the Masterpost at the end of the event.

1b. If you are making visual art for the exchange and unsure of how to add it to AO3 here is a quick guide on how to embed images and how to add alt text to your image description for accessibility!

1c. If you create your work as a draft on AO3 before your posting date, please make sure to change the date of the work when you post it. Otherwise it will appear on whatever date you created the draft and might be missed!

2. If you choose to post your creation on Tumblr, please feel free to tag us! We love to see your work! There will be a Masterpost at the end of the event with every gift and its recipient! This year we will not be reblogging individual posts. In previous years some of the tagging didn’t work correctly and some works were missed by the Mods because of Tumblr glitching, which led to some hurt feelings and confusion. Additionally, both Mods lead very full lives, making constant monitoring of the tags during the busy posting season nearly impossible. In order avoid confusion, stress, and disappointment, we will collate all Gifts into one Masterpost after the event ends so that everyone can see who created what.

2b. Accessibility: If you are creating visual media, we are highly encouraging all participants to make this as accessible as possible by adding alt text or image descriptions. The Cooper Hewitt guidelines are a good resource for this, and here is a more step-by-step guide to formatting a description. This site is excellent for helping you decide how to describe your work! We know it might be a little intimidating to add this kind of information to artwork, especially if you have never done it before, but image descriptions make your work accessible to many fans who would otherwise be unable to enjoy it.

3. Again, if you’re having trouble meeting your deadline, please let us know so we can work with you as much as possible! Posting dates can be more flexible if you run into trouble or are having difficulties (we know the holidays can be tough!) Just message the blog or shoot us an email and we’ll do our best to help you out. If nothing else, we can let your recipient know their gift is temporarily lost in the post.

4. Finally, if you need to drop out for any reason - we won’t ask why! - please let us know as soon as possible.  We do have pinch hitters, but everyone works best with the most lead time they can manage.  We promise we won’t be mad, but we do want to make sure everyone who participates receives a gift, so it’s best for all of us if you reach out and let us know you just can’t participate.

We can’t wait to see all the great things that you create for this exchange, and thank you for sharing in the giving spirit! When you completed your fic and are ready to publish, here are the next steps!

Go to the "FirstWizardingWarFest2023" on Ao3 and click 'Post to Collection': https://archiveofourown.org/collections/FirstWizardingWarFest2023

Choose the appropriate options and upload your fic. If you need assistance uploading your fic, please consult this handy Ao3 tutorial.

You do not need to add the fest mod account as a co-author. We will inform you of the reveal date for your fic prior to posting, and you may change the publication date on the fic that day if you would like. However, if you would prefer us to update the date when we post, you may add the mod account (FirstWizardingWarFestMod). We will not make any other changes to your work.

Email us the following information to [email protected].

If you signed up to participate in this year’s Remus Lupin Fest please check the email that you signed up with for posting instructions.  If you don’t see the email check your junk mail.  If you still don’t see it please reach out to a mod ASAP either through email or on Discord.  Please don’t reach out through tumblr as it is not the most reliable and we want to make sure we get back to you quickly.

ASSIGNMENTS ARE OUT!!

You should receive an email with your assignment and you can also view it on your assignments page in AO3. If you can't find it or if there is an issue please email: [email protected].

The collection is now open for posting.

Remember, assignments are due on March 18, 2022!!

A few things to remember:

You only have to include at least one character or relationship requested. You do not have to incorporate everything they requested. (That said please try in good faith to write a story a you think your recipient will enjoy.)

This exchange is Anonymous! Do not share who you are writing for! If you want further clarification from your recipient please email [email protected] and we reach out to your recip for you. DO NOT CONTACT THEM ABOUT THEIR REQUESTS DIRECTLY!

Remember that the fic must be complete and at least 1,000 words when posted.

If you contact us on anything, be sure to include your AO3 name that you signed up with in the subject line.

If You Are Ready to Post:

You can post directly from your assignments page on AO3, just go to your assignment and click the "Fulfill" Button and it will automatically fill in the collection and your recipient.

If you want to post a treat, or you aren't doing it through the assignments page, please go to the collection and click the Post to Collection button. Please make sure you put in the recipient's name EXACTLY how it appears in the assignment on the line where it says "Gift this work to...."

If You Can't Complete Your Assignment

We understand that life happens and stuff comes up. If you can't finish your story by the above deadline you have two options:

If you just need a few extra days, we are willing to grant brief extensions. Please email us at [email protected] and we will let you have a few days.

If you know you won't be able to complete your assignment at all, you can default. We ask that you try to default as soon as possible if you know you won't be able to finish, to give us time to find a pinch hitter and that pinch hitter enough time to write the story. You can default from your assignments page by clicking the default button, or you can email us letting us know that you are defaulting.

Posting starts on 5th February.

1) On Tumblr, please be sure to mention @j2winterfling and include #j2winterfling in the tags.

2) On AO3, please add your work to the collection J2 Winter Fling 2022 (j2_winterfling_2021_22)
