Am I allowed to talk (on my tumblr, my twitter, my bsky, my mastodon) about my Big Bang before matching is done? Also, when can I start writing?
We would prefer it if you don't talk about your big bang fic on social media before matching is done, or at least not about any details that could give away which of the fics to be matched is yours.
You can however talk about your fic freely in our Discord in the designated channels! After we close sign-ups we will be sending out an invite to all participants.

hello! i'm considering organizing a big bang for another fandom, and i've participated in the rqbb twice now and i like the way that it's run, so i was curious if you had any sort of guidance or tips for how to go about organizing one. i'm very much in the 'i think this would be cool' stage of things right now, so any advice you have would be helpful! thank you π
Hello, happy to help out! We tried to gather some points below the cut (if it looks like much shh no its not, we just got carried away trying to think of all the things). Hope it'll help with your event and if you have more questions please contact us again.
have a look around on other exchanges and big bang, look at their rules and guidelines and feel free to copy stuff over for your own event. You don't have to create everything from scratch, a lot is already there and you can use it to Frankenstein your own event.
How big and active is the fandom? Which often influences how many participants you'll have. Then consider if you want to run it on your own or bring other people on board to help you out.
If you bring other people on board roughly define who is mainly responsible for what area, with the others helping out if need be.
What's the scope of your big bang? What's the wordcount/art requirments? Which fandoms, which ratings, which ships, etc. are allowed? "Everything!" is not a wrong answer, but a narrower scope like one genre or one ship could make it less daunting to run.
If you allow 18+ content make sure to put that in the rules and that anyone under 18 is not allowed to create 18+ content.
Where do you want to run it and what platforms do you want to use? Tumblr main or a separate side blog, twitter account, new AO3 account, discord server, dreamwidth, etc.? Who needs access to what if you have other people helping out.
Timeline! Make sure you have planned in enough time for writers and artists, but also some buffer time for you in case something goes wrong (people having to drop out of the event, someone needing an extension, etc.). How many checkins do you want, how much time for sign-ups and so on
do you want artist and writer creation time to overlap or separately? Overlapping can be fun for creating stuff together as a team, separately makes it easier to mitigate the effects of people dropping out and taking others out by accident as well.
gdocs will be your best friend whether you like it or not. Set up a folder structure to keep track of stuff, a document to write out rules and instructions, use forms for signups, excel sheets oh god so many excel sheets, but you'll need them to keep track of participants, matching, etc.
For each big bang we basically keep one big excel sheet with several tabs to keep track of everyone and then several other froms and such depending on the questionnaires, as well as at least one word document to write out rules/guidelines etc.
how do you want matching to take place and where? First come, first serve or more similar to ours where people can chose a couple one and then get a surprise (with the option on your end to still remove a few things if they get a lot of signups or a really good match). We're are using SurveyMonkey because it makes it easier to format summaries, however they do have a cap on how many responses you can get unless you want to pay. But you can have a look around for other tools depending on what kind of matching you'll have. Some events use google forms or discord or AO3.
People will have questions and you will have to follow up with people, make sure you define what your main way of contacting people is. Mail, discord, tumblr, or a mix? (if a mix make sure you keep track of who is who across platforms, again excel sheets is your best friend)
ask people to confirm participation, whether by joining a server or responding to an email. it can really help weed out people who don't reply before they get assigned anywhere.
people will drop out, so make sure you have some backup plan for writer and artists if need be (pinch hitters, etc.). Sometimes people won't inform you in time or at all if they drop out, so look at check-ins and follow ups and if in doubt look for backup already.
stuff will go wrong and there will always be something that doesn't run smoothly, don't panic too much over it. Maybe make notes of things you'd like to change in the future.
again gdocs and excel sheets, get really intimate with them
remember to look out for your own wellbeing! it can be easy to prioritise the event over yourself but at some point that'll take you out at the knees. do what you have to to make this sustainable for yourself, whether that's having a team, limiting participants, skipping a few things you had planned to do or cancelling if you need to.
Remember that the event should be fun for you too!

We generally reblog other events that come to our attention to our "unassociated event" tag, but tbh the mods have not been terribly online of late either, so we're hoping that our followers can share some things that they're participating in or looking forward to on this post! In the meanwhile, the projects we're currently aware of are:

γ18+γ ArchiveCon: June 4th-5th, registration open until June 3rd
...and of course our Rusty Quill Big Bang, for which we will be opening writer sign-ups on May 8th this year (official announcement et cetera coming very soon).
Sorry, I should have been more clear, I meant tweaking the rules of the big bang itself. I know it's audacious to come in and suggest how to run your own event, but a minimum word count of 20k can feel like a really high barrier of entry for fic writers who might want to challenge themselves without having to write a novella. This is just the minimum, after all, having it a bit smaller can make it more accessible to fan creators who might be strapped for time and energy while still enabling those who want to go all out on something big. A lot of big bang events have minimum word counts of 8-12k and I think that feels like a good middle ground
Weβre aware that the 20k is a barrier to entry for some - but apparently not for the over fifty people who have signed up so far. We are not running this event with the intention that everyone will be able to join it - moderating this is something that we do in our spare time, alongside our day jobs, and the higher the participant count goes, the more difficult that becomes, hence our selected challenge criteria. While we do feel for those who would like to join but cannot, as fan creators strapped for time and energy ourselves, it is not in this or any other year feasible for us to accommodate every person in RQ fandom. As for other events, you may be interested to learn that the traditional minimum wordcount for Big Bang fics is 50k. If you are unwilling to attempt participation in an event with a minimum wordcount of 20k, you are not obliged to join ours - there is at least one other bang event that ran for TMA last year, and we run other RQ fandom events throughout the year with much lower wordcount minimums. Weβll be deleting further asks on this topic.
