Do you have any tips/suggestions for making rehearsal reports? My new director is a big fan of them, but I've never done formal reports before.
OK So rehearsal reports are pretty standard practice (and by that I mean almost everyone does them). Format will vary widely by SM, but the most important thing is that all of the information is included, and that it is in a format that is easy to read (keep in mind that many folks will read these emails on a smartphone or tablet and may not want to open an attachmentâŚ).
What is the purpose of a rehearsal report?
The rehearsal report is the official record of the rehearsals for the production and it serves 2 general purposes- to keep a record of what happened in rehearsal, and to keep all the members of the production team apprised of what is going on and what the needs of the show are.Â
You know how the SM is supposed to be the hub of communication for the whole production? Thatâs really key here. Most designers and theater staff arenât in rehearsal every day. In big regional theaters you might be lucky if the designers see one run-through of the show before tech. Thatâs not usually the case in smaller/education theaters, but sometimes it is! The rehearsal report is their link to what is going on in rehearsal.
Who gets the rehearsal report?
With some few exceptions (a playwright who is in the cast, or some unique company policy, for example), actors DO NOT get the rehearsal report. [Actors should get a separate Daily Call email (or maybe a Weekly Call, depending on where youâre working) that has the schedule, location, fittings, announcements, etc.] EVERYONE ELSE involved in the production should get the report. All of the artistic staff (director, music director, choreographer, playwright [if itâs a new play and youâre in contact with them], all of their assistants), all of the design staff (lighting, sound, costumes, props, scenic, projections, all of their assistants), all of the production staff (SM, ASM, PAâs, TD, Costume Shop Mgr, etc), all of the theaterâs in-house staff (Production Mgr, Artistic Director, Marketing Mgr, etc.), any other random folks working on the production (Fight Director, Dialect Consultant, Dramaturg, Puppet Designer, whoever). Basically everyone on the contact sheet EXCEPT the actors. Most SMs I know (myself included) include the report in the body of the email as well as attached as a pdf.
What goes in the rehearsal report?
When was the rehearsal? Date & span of dayÂ
When were your breaks? (Meal breaks & if youâre working on an Equity-type break schedule you should include official 10â˛s and 5â˛s as well)
Where was your rehearsal?Â
Who was called for rehearsal, and when?Â
Was anyone late or absent? Was it excused?
Was anyone sick? Did any injuries occur?
What did you accomplish in rehearsal?Â
When/Where/What is the next rehearsal?
General Notes: these are notes that everyone working on the show should know
Department-Specific Notes: usually SMs break up reports into sections by department, so the designers only need to look under âLightingâ or âPropsâ and not sift through everybody elseâs notes, too.Â
âŚWhat do you mean by âNotesâ?
Notes are anything that happened in rehearsal that someone else on the production staff needs to know, or questions that came up that did not require an immediate âlet me make a phone callâ type response. Keep in mind that the people who are reading it probably werenât in rehearsal- include enough detail that they know what youâre talking about, but donât write them a novel [this is a delicate balance, I know!].
COSTUMES: We would like for Sarah to have an evening clutch-type purse for her entrance on pg3. Her hanky will be in it.
SCENIC: Sarah will slam the US door after her first entrance on pg3.
LIGHTING: Will the desk lamp be practical? Jim will be turning it on during Sc4.
DRAMATURGY: Could we get some more information about the types of vaccines children would get in the 1960s?
GENERAL: Reminder that the Designer Run is this Friday, 1/15/16. We will begin the run promptly at 3:00pm. Please let Stage Management know if you will need power at the tables. Looking forward to having you all in the room with us!
MANAGEMENT: We are out of cough-drops. Plain Ricolas are the preferred flavor. Thanks!
Often SMs will also include a âthank youâ note when a department repairs something, brings in a new rehearsal prop, etc.Â
COSTUMES: Thank you for the rehearsal hat and shoes for Jim.
DIALECT: Thank you for stopping by today to clarify those questions re: the Polish accent for Karen.
Notes also serve as a CYA for you- if you get to tech and Sarah slams the door for her first entrance and it promptly falls off its hinges then youâve got a problem, but it will be the TDâs own fault for not reading the report! You can look back and say âIn the report from last Wednesday, we told you she was going to slam the door. You should have reinforced it or told us it wasnât possible.â
What does the report look like?
Every SM has a different format! Some type of table is generally the best option for keeping lots of information organized in the same way every day. Keep in mind that readability is key. I would suggest copy/pasting the report into the body of an email and sending it to yourself before you really commit to a template- make sure it looks ok when youâre reading it!Â

How did you pick and search for a college with a good stage management program?
Well I was lucky enough to have my options narrowed down at first to only schools in my state (I had to stay in state in order to get a scholarship). That took a big chunk off my plate! After that I just went around to different schools with BA theatre programs and toured! For me it was more important how the atmosphere of the school felt (both in general and in the program) and was like 70% of my deciding factor. Most schools gave me ok vibes, but once I visited my current school I knew right away that that was where I wanted to be. The school was super open about everything, I sat down with the department head and just chatted, then they gave me a tour around the building and the spaces (if a school wonât show you their theatre spaces then that should be a big red flag! Thatâs no good!) and all the faculty I talked to were just so sweet and welcoming, and the students were so happy and just having fun. Youâll never truely be sure if a schools for you until you tour in my opinion, so try and get out and visit your favorites. Youâre gonna be living and working here for the next four-ish years so take the time to make sure you like it!
im just wondering, how did you find stage managing opportunities outside your high school? i could use a little advice đđ
Most of my stage managing/ tech work is actually outside of my school!! The one thing that really helps is connection. The theatre community is really tight, everyone knows everyone. Usually doing crew for a show will spiral in other opportunities. If you are a good tech member, somebody on the production team could remember your name for another show! Also, take/consider any opportunity you get!! Anything can be a learning experience, and could lead to your next gig!!
A note to all stage managers:
Your paperwork should always, ALWAYS, be done in a way that can be handed off to a sub who doesnât know your show. Â It should be detailed and essentially idiot proof. Â Your sub will be grateful and you wonât have to worry (as much) or answer 1,000,000 questions.
THIS IS A POST ABOUT GLITTER
To an audience member, itâs magical. To an actor, itâs a fun part of stage makeup. To a stage manager, costume designer, or anyone on tech, itâs hell. Stage glitter is something that is despised in the theatre community, but can be something vital (at least for the director) to the show. This past year I was in a touring show choir where we had to wear glitter as makeup, for about 14 hours at a time, while performing, traveling, and sweating throughout the day. Because of this, Iâve picked up on some tips that can make glitter application/wearing/removal a little better for anyone involved. :)
-PLEASE make sure whatever theater/space you are wearing face glitter in knows about it. Many old theaters donât want glitter backstage or in the lobby or the house. It can truly be a pain to clean up and could rack up some fees.
-When applying, pick one seat in a dressing room, one space in a hallway, or just one place where the glitter is stored and applied. This is not only confining the mess of open containers, but could let the makeup artist have a little space to keep their glitter and let them put on or monitor the process of glitter application.
-When applying, put a towel or something over the person so fallout doesnât get on their clothes or costume.
-EYELASH GLUE. Using this to apply loose glitter to the face will make it bulletproof. It doesnât have to be the expensive stuff too. Just take a little glue, dab it on the skin (swatch test first ofc) and then dab about 2-3 layers of loos glitter. This literally kept glitter on my face for 14 hours of touring. No flaking, no rubbing off, no fallout.
-To make it more sustainable, spray some hairspray on the glittered area when done. This is intense, but that glitter will not budge.
- REMOVAL. If you used eyelash glue, you can literally peel it off and wipe extra stragglers off with a makeup wipe. If you used Vaseline or jelly, used a warm washcloth over a sink so you wonât rub your face raw.
I use craft glitter on my face, (which is probably really bad pls donât come at me) only because you can buy it in bulk and many colors. Theres lots of âloose craft glitterâ on amazon prime which is what I always use.
I really really hope this was helpful!! Iâve just seen so many people posting about glitter hell and wanted to see if this would make it any less horrid. :)

I was doing a backstage walk-thru with the production manager tonight at the same time that a middle school was performing The Tempest. I watched their stage manager in all black, wearing their radio headset, telling the cast to keep the hallways clear. She was firm, direct, calm, and didnât have time for their shit. I wanted to tell her sheâs already so far ahead of the game, but she was so focused on her job, all I did was smile and thought âyou go, baby stage manager.â

Can we talk about the Once On This Island revival for a sec?? Itâs so well casted, and the whole cast just seems like a family. The costumes are phenomenal. Clint Ramos literally turned garbage into Tony Award nominated costumes. And the set is just so so immersive with being in the round, and SAND. And goats. Live animals on a sandy stage in the round. This showâs technicalities are just so different than any show on Broadway now and WOW. If it doesnât take home itâs fair amount of Tonys I will throw hands.
