We're excited to announce the launch of built-in Radio Frequency Identification (RFID) tracking on our bike shipments, making Bikeflights the first bicycle shipping company to bring the technology to riders. Previously limited to critical healthcare shipments like organs and vaccines, our RFID service is a close collaboration with UPS, bringing top-tier tracking to cyclists across the country. Unlike a traditional barcode tracking number that goes quiet between updates, or a consumer device that only the sender can see, RFID gives the customer, Bikeflights and the shipping carrier the same near-real-time view of a bike’s progress.

RFID labels use a tiny embedded chip and radio waves to identify and track a shipment without an onboard battery or power source. Unlike a traditional barcode, which has to be lined up and scanned one at a time on a belt, an RFID label can be read wirelessly and from a distance, even when it isn’t directly visible or if the parcel is too big to fit on conveyors. As a tagged shipment passes an RFID reader in the carrier’s network, the reader activates the chip and captures its unique ID automatically, so the bike is identified, sorted and tracked more quickly and accurately at every point the label is read.

Because those reads happen inside the carrier’s own operations, the resulting location data isn’t something the rider watches from the outside. It’s the same operational data the carrier and Bikeflights use to move and route the shipment with each scan feeding the customer’s Bikeflights shipment status page, so riders see meaningful, location-stamped progress instead of long silent gaps. The result is true end-to-end visibility and faster problem-solving across the entire journey, not just a string of scans.

The rollout arrives in time for this summer’s RAGBRAI in mid-July, where we will provide RFID-enabled labels to participating riders shipping bikes to and from the ride. 

The ideal candidate will possess excellent customer service and communication skills and an innate willingness to assist customers and fellow team members. They will be self-motivated and able to work efficiently and accurately. 

This is a virtual position - you will work remotely using provided technology.

Customer Experience Associates must be available to work four regularly scheduled seven-hour weekday shifts per week plus one seven-hour weekend shift per month for an average of 30 hours per week. Opportunities are available for additional hours per week.

Essential Duties & Responsibilities

Communicate courteously with customers by chat, email and telephone.

Promptly handle a large number of online chats, emails and calls daily while maintaining a friendly voice and professional attitude.

Maintain current knowledge of Bikeflights’ products and services.

Work and communicate regularly with other Customer Support staff.

Document, reproduce and relay site issues to the development team.

Attend regular virtual team meetings.

Suggest possible new improvements to customer service and help implement selected improvements.

Salary & Benefits

How Shipping Size Is Calculated

Cubic size

Cubic size is calculated using the total volume of your package:

Cubic size = length × width × height (L × W × H)

Length + girth size

Length + girth is a standard carrier measurement that represents the total distance around your package:

Length + girth = length + (2 × width) + (2 × height)

Where:

Length (L) is the longest side

Width (W) is the second-longest side

Height (H) is the remaining side

Both calculations are used by carriers to determine rates and whether Additional Handling and Large Package Surcharges apply.

Shipping Smaller Items Like Components and Accessories

You’ll typically see the lowest shipping rates when your package meets all of the following criteria:

Length + girth less than 105 inches

Cubic size less than 10,368 cubic inches (new as of 1/26/2026)

Weight under 50 pounds (domestic) or 55 pounds (international) (updated as of 1/26/2026)

Length (longest side) under 48 inches

Width (second-longest side) under 30 inches

Average weight in a multi-package shipment under 50 pounds

Packed in corrugated cardboard (not shrink-wrapped and not in a hard or soft case)

If any of these criteria are exceeded, the carrier’s Additional Handling Surcharge (AHS) applies.

Shipping Larger Items Like Bike Boxes and Bike Cases

When shipping larger packages, including many bike boxes and bike cases, you’ll get the best rates when your package meets the following criteria:

Length + girth less than 130 inches

Cubic size less than 17,280 cubic inches (new as of 1/26/2026)

Weight under 110 pounds (updated as of 1/26/2026)

Longest side under 96 inches

If any of these thresholds are exceeded, the carrier’s Large Package Surcharge (LPS) applies.

How Additional Surcharges Are Applied

Additional Handling and Large Package Surcharges apply to both domestic and international shipments. Surcharge amounts vary based on the criteria exceeded and the number of zones a shipment spans.

If a package meets multiple surcharge criteria, only one surcharge will be applied, in the following order:

Weight

Length + girth

Length

Width

Cubic size

Packaging

An Additional Handling Surcharge will not be applied if a Large Package Surcharge applies.

Maximum Size and Weight Limits

Important reminder:You cannot ship packages within the US that exceed:

165 inches length + girth (419 cm)

108 inches in length (274 cm)

Always Round Up All Measurements

Carriers have changed how they measure packages. All dimensions and weights are now rounded up, and length, width and height are measured at the widest points, including any bulges in your box or case.

If the dimensions or weight entered when booking are inaccurate, your shipment may be delayed and you’re likely to receive a carrier adjustment.

Always Include Apartment, Suite and Unit Numbers

Carriers now require apartment, suite or unit numbers to be included in delivery addresses as part of broader efforts to reduce fraud. Packages sent to addresses missing an APT, STE or UNIT will get an address correction charge and may experience a delivery delay. This applies to both residential and commercial addresses.

We’ll continue working with you to correct addresses when possible before shipping to help prevent address correction fees and delivery delays.

Individual or Company Recipient Names Are Required

Recipient names matter! Company names must be included for delivery to a commercial address, and the name of the individual property owner or permanent resident must be included for delivery to a residential address. Shipments sent without a valid company or individual name will get an address correct charge and may experience a delivery delay.

Here’s how to enter recipient names correctly:

Shipping to a business or hotel or any commercial location: You must enter the Company Name associated with the address, such as John’s Bike Shop, The UPS Store or Hotel Milan. Then enter “Hold for [RECIPIENT FIRST NAME]” in the First Name field and the [RECIPIENT LAST NAME] in the Last Name field. For example, if the package is  ultimately going to Jane Smith, enter “Hold for Jane” in the First Name field and “Smith” in the Last Name field.

Shipping to a residential address, Airbnb, VRBO or a friend’s home: Enter the property owner’s or permanent resident’s First Name and Last Name, not your own name. You can still indicate that the shipment belongs to you by adding your first and last name in the Attn/RA field.

Size Calculations Are Changing

Carriers are introducing a new way to calculate shipping size. Effective January 26, 2026, cubic size will be determined using a volumetric calculation:

Cubic size = length × width × height (L × W × H)

Why this matters: shipments may be subject to an Additional Handling Surcharge (AHS) or a Large Package Surcharge (LPS) when certain thresholds are exceeded. These thresholds already include factors like length plus girth, length and weight, and will now also include cubic size.

Here are the new cubic size thresholds and updated weight criteria:

Additional Handling Surcharge (AHS)

Applies at a cubic size of 10,368 cubic inches

Applies at a weight of 50 pounds (domestic) or 55 pounds (international)

Large Package Surcharge (LPS)

Applies at a cubic size of 17,280 cubic inches

Applies at a weight of 110 pounds

UPS Ground Saver Packages May Be Delivered by USPS

Our most economical service has also changed over the past year. UPS Ground Saver®, formerly known as UPS SurePost®, now uses a different delivery process.

During much of 2025, UPS handled Ground Saver shipments from pickup to delivery. Going forward, most Ground Saver packages will start in the UPS system and be delivered by the United States Postal Service (USPS).

That’s why you may see two barcodes and two addresses on your Ground Saver label. One gets the package from UPS to your local post office, and the other gets it to your final delivery address.

This year also marked the 10th anniversary of Buck Up for Bikes, our program supporting organizations that help get more people on bikes.

Since launching, we’ve contributed $169,000 to groups including the National Interscholastic Cycling Association (NICA), International Mountain Bike Association (IMBA), Little Bellas, World Bicycle Relief, the Amy D Foundation and Trips for Kids — all working to make cycling more accessible, fun and inclusive.

Spot fake contact information.

Bikeflights only sends you emails from our @Bikeflights.com domain. We will never send you emails from other domains such as @gmail.com, @Bikeflights.delivery or @post.com. Also, be on the lookout for incorrect contact phone numbers; our phone number is (541) 705-2453.

Examine links before clicking.

Prior to clicking on a link, hover over it with your mouse to see the real URL to which the link is pointing. If your email browser doesn’t let you do that, right-click and copy the link, then paste it into a note or text file to see it. Make sure the URL is https://www.bikeflights.com. Notice that we use https:// security to keep your information safe; our domain name (the part after the www.) is “Bikeflights”, and the domain suffix is “.com”. Do not click on a link taking you to a URL with a different domain name or a different suffix (such as .cc or .ru or .delivery). Scammers will often create and host copycat websites imitating real branding on domains that are very similar to a company’s actual domain.

Notice any odd language.

Scammers located in other countries who are not native English speakers may use unusual salutations, make translation or spelling mistakes or word their messages in a way that sounds awkward or strange. If the message doesn’t read quite right or sounds like something that was auto-translated, that’s a red flag.

Don’t fall for urgent requests to pay.

Many scammers convey a sense of urgency in their messaging. They’ll say you must pay a certain amount or respond with personal information quickly or face some threatened consequence. They are trying to trick you into responding fast without taking the time to think critically about the legitimacy of their request. If a message feels threatening or inappropriately urgent, step back, take a deep breath, and directly contact our Support Team to confirm the communication.

Beware of requests for payment or account information.

Bikeflights will never send you an email requesting you to wire transfer money (in euros, dollars or any other currency) and then send us confirmation of such payment.  And when we do issue refunds, we don’t ask you for new or different bank account info or other payment app details because we only issue refunds directly via the payment method you used.

Be wary of attachments.

Don’t open email attachments from Bikeflights unless you were expecting them and you know exactly what they contain in advance.Protect your personal information.

Don’t share your Bikeflights account username and password.

Bikeflights will never ask you for your password. Be sure to use a unique, highly secure password for your Bikeflights account, and change it frequently. Don’t give personal information to any stranger who contacts you without being prompted, even someone claiming to be from Bikeflights. You should only share personal information when you initiate the conversation directly with our Support Team.

Listen to your gut & trust your instincts.

If something feels or seems odd, surprising or too good to be true, be suspicious. Do not respond directly; instead, report all suspicious emails, phone calls or text inquiries to [email protected].

Selling or Buying Online? Additional Tips to Protect Yourself.

Don’t take payments over the phone.

If you are selling bikes and bike-related gear online, you should never take payments over the phone. It’s the method scammers most commonly use to manually force through payment with a fraudulent credit card. Instead, require your buyer to pay via your website (if you have one), or send them an invoice to pay you via PayPal (or other similar payment processing service). When accepting an online payment from a remote customer for a high value item, follow up with a phone call to them to confirm the details of their transaction. Legitimate buyers will be willing to provide you with a real phone number, and most will appreciate your efforts to confirm their transaction is legitimate prior to fulfilling their order.

Require and verify ID from buyers.

Always require your customer or buyer to show a government-issued ID with a name on it that matches any credit card that they are using to purchase a bike or other high value item from you. If the name on the ID that they provide doesn’t match the name on their credit card, do not accept payment, and do not ship the bike to the buyer, no matter what excuses they give you for the discrepancy.

Confirm delivery address.

Check that the requested delivery address actually matches the address of the person or business who is purchasing the bikes, wheels or gear you are selling online. Generally, you want to stick to shipping only to the address on the government-issued ID.

Watch out especially for requests to ship to a freight forwarding company or transportation company. It’s a red flag that the bike you’re shipping may be on a path to continue immediately on to another country, where it will be irretrievable if there is a subsequent chargeback. It can take up to four weeks for a credit card use to be reported as unauthorized and a chargeback to be issued. By then, your merchandise could be gone forever.

Be wary of requests for overnight shipments.

As awesome as it may seem that someone wants to buy your bike or other high value item immediately, be wary of requests to ship it out the same day via overnight or express shipping, even if the buyer offer to pay more for the expedited shipping. Fraudsters commonly use stolen credit cards to purchase such items in the hope that their transaction will go through and the shipment will be completed before their fraudulent activity is detected.

Here’s an example of a common fraud attempt experienced by bike shops: A remote customer buying a bike from your shop asks you to ship the bike overnight to their hotel room so they can take it back with them to wherever they live, often somewhere outside of the country. It’s a nice bike, but it’s been sitting on your bike shop floor for a while, and you are happy to finally sell it. You rush to pack up the bike, ship it to the hotel, and the hotel staff receives the bike. Everything looks like it worked great. Forty-eight hours later, the customer denies that they ever received the bike and reports that to their credit card, taking advantage of buyer protection. The payment processor refunds the buyer’s money. The customer potentially got the bike and got their money back, but you lost the bike.

HOLIDAY SHIPPING TIPS

Tip #1: Allow Extra Shipping Time.

How fast your holiday shipments will travel depends on what level of service you purchase. However, it’s the busiest time of year for carriers, so you should always build in some extra shipping time to account for potential delays due to the high shipping volumes.

Our carrier UPS suggests the following express service ship-by dates to help you make sure that your packages are delivered by Wednesday, December 24, 2025, the last business day prior to the Christmas holiday. There are no delivery services on Thursday, December 25, 2025 (Christmas Day).

UPS 2nd Day Air®: Monday, December 22, 2025

UPS Next Day Air®: Tuesday, December 23, 2025

For all shipments via ground service, you can easily get estimated delivery dates at Bikeflights.com based on your ship-to and ship-from locations and your ship-on date. Keep in mind that carriers suspend their delivery guarantees during the holiday season, so the estimated delivery date you receive is just that: an estimate! 

Tip #2: Account for Potential Weather Impacts.

Snow delays can and do happen. Throughout the northern hemisphere, it’s winter, and therefore it can snow or ice at any time in many places. Significant storms may slow or even halt package delivery, especially when the system is already strained due to the higher volume of shipments.

Even if you are shipping to or from a warm climate, your bikes, wheels and gear may have to travel through wintry climates en route, or their travel may be impacted as consequences of winter storms in other places propagate through the system. Potential weather delays are another good reason to ship earlier to give your shipments some extra time. 

Tip #3: Remove or Completely Cover All Previous Labels and Markings.

After you receive all the items ordered during your Black Friday and Cyber Monday shopping, it’s time to wrap and ship your gifts to recipients. Be sure to always remove or completely cover ALL previous labels and markings from any boxes that you’re reusing for subsequent shipments. This includes addresses, barcodes and hazmat and other warning stickers.

Automatic scanners will read old labels and markings, and your package could end up getting delivered to the address on a previous label. If the previous label’s address is yours, the package could come right back to you instead of going to your intended recipient, and then you’ll have to ship it again! 

Tip #4: Book Shipments With Accurate Dimensions and Weight.

When booking, be sure to enter accurate dimensions and weight. We’ve pre-loaded the dimensions of popular cases suitable for shipping that you can select when booking. For all boxes or cases not on our list, use a tape measure to determine the following dimensions for your shipment: Length, Width and Height. 

Length is the longest side of a box or case; Height is the second longest, and Width is the dimension that’s leftover - measure each at their widest parts to account for any bulges. Then use a scale to determine package weight. Always round up to the next unit. For example, enter 13 inches for a measurement of 12.25 inches, and enter 14 kg for a measurement of 13.7 kg. 

Shipments are audited multiple times during transit. If a package’s actual dimensions and weight do not match booked dimensions and weight, it may be delayed en route while the discrepancy is resolved, and you may be charged additional fees. Such shipments are also more susceptible to damage because they may end up getting incorrectly sorted by size.

Tip #5: Double Check Your Addresses.

You’ve gone to all the work to get the gifts you’ll be giving, and now you’re ready to send them. Remember to double check your address BEFORE shipping. Make sure you’ve got a complete street address, including the house, apartment, suite or unit number so the delivery driver knows exactly where to go. And if you’re shipping to a commercial address, be sure you’ve also included the company name.

Peak surcharges are applied across shipping service levels (UPS® Air, UPS® Ground and UPS Ground Saver®) and to large or oversized packages.

How to Measure Accurately

1. Measure at the longest, widest and tallest points. Packages can bulge in the middle. Take a careful look and measure at the truly longest, widest and tallest points on your box or case — just like the carriers do.

2. Always round up your numbers. Round up length, width, height and weight to the next whole unit. For example:

About the Program

The Bikeflights Top Shop Program is open to all bike shops that successfully complete our Bike Shipping School. Top Shops receive discounts on Bikeflights shipping and on Bikeflights Bike Boxes and are specially designated within our Bikeflights Bike Shop Finder. The program is free for shops to join and operates on a calendar-year basis.

How It Works

After you create an account on Bikeflights.com and successfully complete our 2025 Bikeflights Bike Shipping School, we will contact you and set your shop up with a 5% discount on shipping bikes, wheels and bike-related gear and a 20% discount on Bikeflights Bike Shipping Boxes purchased in the Bikeflights online store. The new Bikeflights API makes it more efficient for outside developers to connect to Bikeflights’ global shipping platform because there are now fewer endpoints that return more info, thereby cutting down on the time it takes to integrate and create custom user experiences.

The API comes just two months after Bikeflights launched its first integration: a shipping app for bike industry businesses who use the Shopify platform to power their e-commerce. While the Shopify app initially required an interactive process with Bikeflights representatives to download and configure, the app is now publicly available to download for free from Shopify’s App Store. Upon installation, the updated app walks you through setup and configuration in just a few minutes, and once installed, it’s intuitive to use.

“Our Bikeflights Shopify app and API save our customers time and money on their shipping by making booking shipments and generating labels faster and by reducing errors in the process of doing so,” said Bikeflights Partnerships Director Michael Potter. “Fewer mistakes mean fewer address correction fees, fewer carrier surcharges and more successful deliveries and happier customers.”

Shopify app users generate and get their labels directly in the app, on the platform where they already receive orders – no need to leave the Shopify dashboard or bounce back and forth between windows while juggling multiple programs and services. 

“From receiving your orders to purchasing your labels to printing your labels, it’s all done in the same interface,” said Bikeflights Customer Engagement Manager Gordon Wadsworth. “It turns what was hours of work into minutes and lowers your true cost of shipping.”

“We leveraged customer and partner feedback along with our experience shipping millions of bikes all over the world to make the Bikeflights Bike Box Large (BBL) even better,” said Bikeflights President William Alcorn. “We reviewed every detail of our box and figured out what we could change to improve our customers’ experience of packing and shipping bikes.”

Packing a bike into the latest version of the Bikeflights BBL only takes a few minutes because it requires minimal bike disassembly, and every part of the bike has its designated place within the box. A new rear wheel slot guides the bike exactly into position within the box while our patented dropout spacer secures the bike’s fork in place. A new protective wheel sleeve holds the front wheel, securing it into place and protecting it from direct contact with the frame. Even small parts, such as bolts, rotors and removed accessories, have their place neatly stashed in an included small parts bag.

At two inches longer, the latest version of the Bikeflights BBL, which measures 64 x 14 x 32 inches (163 x 36 x 82 centimeters), now also better fits longer bikes and e-bikes. 

The Bikeflights BBL is conspicuously more robust with key areas of the box upgraded to a cardboard with 35% greater board strength. Improved handhold design makes handholds less likely to tear, and new recessed, push-and-twist lid fasteners not only give greater positive feedback during installation and use, but also eliminate the need for tape to seal the box closed.

We've made the latest version of the Bikeflights Bike Box Large (BBL) more recyclable by eliminating 100% of foam from the packing materials that came with the previous version of the box.

New box art clearly instructs riders about basic packing tips and indicates where to apply shipping labels so they’re more likely to stay in place during transit. It also adds helpful and familiar messaging icons to encourage safer handling of the box.

Within the app, retailers can easily group multiple purchased items from within a given order to ship all together in one package, or in any number of separate packages. They can use package preset dimensions, weights and values, or customize them as needed for each order.

App users can instantly get rates, choose shipping speeds and directly book shipments via their Bikeflights account – all within the app. Labels are available within minutes in both laser and thermal formats and are printable directly from the app.

All shipments placed through the app enjoy not only the time savings that comes with using the app but also the expert monitoring, enhanced tracking and customer service that has led to more than 50,000 “excellent” customer reviews.
