VIRTUAL PARTY
In this pandemic situation, the number of virtual celebrations has increased significantly. These virtual programs keep us connected and entertained. We see others and interact with them. Thus we know we are not alone in this fight. But organizing a virtual program needs a lot of planning. As a host, you have to take care of a lot of things. If you want to make your virtual celebration a success, follow the steps mentioned below: The occasion Depending on the occasion, the whole planning of a celebration is done. For birthdays we plan in a certain way; for festivals, we plan differently. So, the occasion plays one of the significant roles in the organization process. Everything you plan must go well with the occasion. On a Teacher’s day celebration program, if you play a party song, you can imagine the level of awkwardness. So, we should keep the occasion in mind and prepare accordingly. The naming Naming the program is another essential thing. Your selected name must be short, catchy, unique, and related to the occasion. Naming the program helps to keep everything organized. All your guests can save the program date with the program name. It also helps when you send the invitations. Just keep the name simple and trendy. List of participants When the naming is done, you have to list the name of the guests. The list must be made very carefully, as you don’t want to miss any potential participant. If the celebration is small and homely, you should invite all your close family members and relatives. If it is something like a birthday party, do not forget to invite the birthday boy or girls’ friends. Depending on the occasion, you should make the participant list. The platform Now comes the central part of a virtual program organization, selecting the platform. We have different platforms to select from. Here, the guest list comes handy. Depending on the number of participants, you have to choose the platform. You can select any from Zoom, Google Meet, FaceTime, Facebook Messenger, WhatsApp, and Skype. All of them are great for virtual celebrations. Zoom has gained a significant amount of popularity over the past few months. You can use it for a considerable number of guests. Yes! You can invite up to 1000 guests over Zoom in a meeting. Google Meet is another excellent platform, but the only disadvantage with this application is, you can only invite 150 people at a time. You have to give the meeting links to all the invited participants beforehand. Facebook, Whatsapp, FaceTime, and Skype are more personal platforms with more limited participants. On Whatsapp, you can invite a maximum of 8 people on a video chat, whereas, on FaceTime, you can add 20 people. So, depending on the number of invitees, you have to select your suitable platform. Distribution of duties You must form a team to distribute all the duties. If you want to manage everything by yourself, things can get messed up. Organizing and successfully conducting a virtual program is not one man’s job. So, select your team, distribute duties among them, and monitor everyone, so everything is done according to the plan. Suppose you plan to have a quiz on the program, pre-select the questions and head of teams. Thus you will successfully avoid future chaos. Planning of the programme A layout of the whole program should be made beforehand. Thus the program will have a timeline to follow, or else everything will be too scattered to manage. Time management is crucial for any virtual program. Setting ground rules You have to set a few ground rules for the program. These basic rules should be informed to all the guests. While listing the rules, avoid making any strict rule that can kill the party vibe. Some rules can be followed, like: Turning off the microphones while someone else is speaking.Giving everyone a chance to speak.Avoiding noisy backgrounds.Maintaining the decorum of the program.Smooth internet connection.Joining 10 minutes before the program starts. As a host, you must make sure everyone is informed about the rules and follows them. Sending invitations When you are set with all the plans and rules, you can send the invites to the guests. Invites must contain all the program's details, like the name of the program, the starting and ending time, the platform, the link, the activity list, the list of rules to be followed, and others. You can personally send the invitations to every individual, or form a group and send it there. The invitations must be attractive and informative. Organizing games You can organize different games on the program for better engagements. Simple card games or puzzle games can be played over virtual platforms. Playing games makes the program interactive and lively. Showcasing talent Virtual celebrations can be a platform to showcase one’s talent. If anyone wants to dance, recite, or sing in the program, they can perform. You have to enlist their names and allot specific time to each of the participants. Other activities The more activities you include in a program, the more interesting it becomes. You can organize a fun quiz and give the winners a prize. This will draw the attention of your invitees to the program instantly. Virtual gifts At the end of the program, you can send every participant virtual gifts for their patience and active participation. Gifts make everyone happy, and they will, for sure, join your next programs. Perfect ending Ending your celebration on a good note is very essential. You should prepare a concluding speech to thank everyone from the bottom of your heart. Thus, your guests will leave the program with a happy heart. So, these are the steps to make a virtual celebration successful. You must act like a leader and take things on your own hands and follow a pre-set schedule. Thus, all your guests will feel included and satisfied.
