1.     Not knowing where your company data is stored makes you vulnerable. Uploading your data in just any cloud, whether you do it privately or as a company diminishes the control you have over your most important asset. Make sure you know where your data is located.

2.     Dependency on a single soft or hardware vendor is killing your business. Not only are you in big trouble if a vendor discontinues the product or even worse, the business. You are also “locked in”, preventing you from changing your IT strategies, thus losing business agility.

3.     Blocking anything will bring you nothing. By blocking sites or apps to your employees, you only make them more creative in finding ways to do what they want. The better solution is to offer them a secure enterprise grade alternative for the apps they prefer to use.

4.     Emailing confidential files is like broadcasting them on television. Even though you might have a very secure network, you have no control over how your email travels after it leaves your premises. It might be opened on a phone that gets lost or it might be forwarded to the wrong person. It is just not secure enough.

5.     Consumer grade file sharing services put your data at risk. If your employees are sharing your data through free consumer grade file sharing services, they put your data at serious risk. Those services are always linked to individual accounts, which you have absolutely no control over. If the employee disappears, so does your data. If it didn’t already.

6.     Enforce company devices. Obviously it is most convenient to enforce the use of company provided devices. At least, for your organization that is. Not for your users. With enforced (mobile) devices your IT department keeps control, but your users will find a way to work the way they do in their private life and use their own. Better to enable BYOD (Bring Your Own Device) and give them an appropriate enterprise grade solution to do so safely.

7.     Easy data migrations do not exist. Don’t get fooled by someone telling you that migrating your data to the cloud is a piece of cake. It is not. And getting your data back may prove to be a real nightmare. Actually, moving data is very intrusive and not to mention expensive. Manageability.  SafeMonk offers you a ‘shares dashboard’ that is accessed from www.safemonk.com once you are logged into your account.  From here, you can see all the folders you’ve shared, and with whom you have shared them. At any time, you can choose to revoke privileges to a folder if you feel the person you shared with no longer requires access.  

Here's the quick lowdown on how to share:

Share. Share any folder within SafeMonk using Dropbox the way you normally would, either via the Dropbox website or your desktop. IMPORTANT: To collaborate securely, the recipient is required to have SafeMonk installed-more on this below.

Approve. SafeMonk will notify you of an access request directly to your desktop that you can then approve with a single click.

View. As soon as you approve - the other person will be able to read the files in your shared folder.

You may be asking: Why does the person I share a folder with through SafeMonk also need to have SafeMonk installed?

In order to keep the files completely private and tapproof, the keys stored on SafeMonk servers are encrypted with the user's (this is you) private and local keys, which are stored on your machine. This means that only you can grant access. The recipient must also have SafeMonk installed, or it would completely break the tapproof and privacy advantages that make SafeMonk unique.

And now with Dropbox 1 Click share, and SafeMonk, it is EVEN EASIER to share with others.  Now files can be shared from the Dropbox icon in your computer tray with 1 CLICK.  This makes it convenient and easy, to be sure.  But knowing that the files you share from SafeMonk are encrypted when shared….now that is just icing on the cake.
