POSITION SUMMARY
The Special Events Officer is a key position designed to assist the organization in raising funds for its programs through the planning and execution of high-quality fundraising events. Reporting to the Director, Corporate Partnerships & Events, the Special Events Officer is responsible for organizing, coordinating and ensuring a number of successful fundraising events each year.
Events will range in size and nature, and the incumbent will help conceptualize events aligned with organizational objectives. The incumbent will engage and manage outside vendors and service providers, while also coordinating with internal RCM partners and the Development team.
KEY RESPONSIBILITIES
Manage and execute all aspects of event organization from event ideation, budget, sales, sponsorship, in-kind contributions, critical path, logistics, programming and volunteers, with a view to maximize revenue generation and minimize expenses while producing a high-quality presentation.
Successfully meet fundraising targets established for each event.
Develop, evaluate and propose new event ideas and programs to support revenue generation and ensure all events are evaluated with a view to appropriateness, feasibility and cost effectiveness.
Ability to secure sponsorships, in-kind sponsorships and gifts, conduct ticket and table sales and execute auctions and raffles.
Conduct tours, attend meetings and prepare required materials, and organize cultivation and stewardship events as needed.
Maintain close working relationships with, and support activities of, various event committees to ensure successful revenue generation and implementation of each event.
Assume primary responsibility for proactively building third party event program and develop relationships with individuals, associations and service organizations to develop revenue generating opportunities.
Oversee and work in cooperation with marketing and communications staff in the creation and distribution of event marketing and communication materials including sponsorship proposals, invitations, save the date communications, microsites, e-marketing and updates to the website, media plans and advisories, proposals, advertising and signage.
Liaise with, and ensure staff in the various departments and other stakeholders are aware and fully briefed on all upcoming special events and Royal Conservatory activities including the distribution of event briefing packages for Senior Staff and volunteers.
Work in cooperation with other departments who are responsible for various aspects of event logistics and key details with respect to facilities, venue, box office tickets and seating, performers, catering, décor, security and more, as well as working with external suppliers when needed.
Oversee stewardship of event sponsors with the provision of timely thank you letters and receipts, reports, event photographs, updates, invitations to thank you events and providing small, meaningful gifts of appreciation.
Conduct related administration work by maintaining the donor database, ensuring accuracy, maintenance, data integrity and timely processing of charitable and business receipts. Prepare thank you letters, nametags, room bookings, catering, lists, signs, reports, materials, packages, gift bags, registration lists, seating cards, expense forms etc.
Manage small events called “intermission receptions”, which take place regularly throughout the concert season.
Keep abreast of new fundraising industry trends and issues.
Be on-site for all Royal Conservatory events and attend partner or industry functions and events as required, which may include working nights and weekends.
Complete other related duties as required.
SKILLS AND EXPERIENCE
University degree or relevant post-secondary education with three to five years’ experience in developing and managing successful fundraising events.
Demonstrated ability to successfully build relationships with corporate decision-makers, solicit sponsorships and develop opportunities for support.
Direct event management experience including managing volunteers, organizing dinners, raffles/auctions, budgeting, record keeping and all logistical aspects of an event.
Proficiency with Raiser’s Edge, MS Office including Word, Excel and Outlook.
Experience with donation receipting and CRA rulings as it relates to events (tickets, sponsorships and gifts-in-kind).
Excellent interpersonal skills, and a positive attitude to work effectively and collaboratively with a variety of stakeholders such as volunteers, donors, staff and vendors.
