5 iPhone Email Productivity Secrets that Immediately Boost Performance
Once you have installed and are familiar with the basics ofInboxMind iPhone Smart Email App, it is time to take your performance to next level:
1. Turn off default email notifications, and instead use smart notifications
Turn off the annoying ping sound and distraction for every email that hits your inbox. Instead use selective notifications for important matters only.
To take your productivity up another notch, use the InboxRadio feature that reads out important notifications to you without having you to even take your eyes or hands off from your other important work (which leads to #2).
Figure 1 (see above): Default iPhone Mail notifications (important priorities mixed with constant noise)
Figure 2 (see above): InboxMind Smart Email notifications (only for important priority levels as selected by you)
2. Email music to your ears: Use your iPhone/iPad as InboxRadio
In simple words, use your ears as much as you use your eyes to know what’s happening in your inbox. Have you tried passively listening to your new incoming email while staying focused on whatever you are doing?
With InboxRadio, listening to your new important email or a summary of prioritized inbox while working, driving or running not only reduces your distractions (yes you are not alone dropping your phone while trying to read emails while commuting) but also lowers your stress levels by keeping you up to date with all of your latest emails.
Going into a meeting or on another call? Quickly silence InboxRadio by using iPhone ringer switch to OFF. Don’t worry - your visual notifications and phone vibrations will still work to notify you if something important has arrived.
Figure 3: Stay hands-free and listen to critical email as soon as it arrives (works intelligently with iPhone music apps). It momentarily lowers the volume or stop other music while it reads out email.

Figure 5: Use InboxRadio to passively listen to your important incoming messages without having to takes your eyes or hands off from PC or whatever other tasks you are working on (no interference with your other music apps playing)
3. Lower your stress by reducing unknowns
How many of you check your sent items after sending an important email, to make sure the email really went through? Most of us have some bad memories of how an important email was stuck in the Outbox and never went through for whatever reasons, and from that moment you never trusted the system. How many of you check your inbox every few minutes to ensure that you haven’t missed the important email you have been waiting for in spite of all the sophisticated rules & filters?
Instead of guessing or stressing, wouldn’t it be better if you were sure about it?
Similarly InboxMind pro-actively tells you when an important email arrives - no need to keep staring at your iPhone screen. Adjust priority of email with one tap, or add important people or keywords to let InboxMind to be on the lookout for you. With InboxMind, you are only one click away from seeing all your unread email, or all emails marked for action.
When you hit the ‘Send’ button, InboxMind shows you real-time, the message being transmitted at the top of your view and changes the status to ‘Successfully Sent’ after getting confirmation from the server. So no more guess work.

Figure 7: InboxMind learns your priorities and each email is automatically assigned a color coded priority that reflects YOUR Priority -- on a scale from Very High (VH), High (H), Medium (M), Low (L) to Someday (SD). You can change priority with one tap or add important keywords or contacts, and InboxMind immediately becomes more intelligent.
Figure 8: InboxMind confirms the successful transmission of email you just sent (by showing it as “successfully sent” email son top of your view)
4. Know that how you manage your email sends a message about you
Like you, everyone carries a smart phone and is always connected even when at airports or hotels. So when you don’t reply to an important email that requires your response right away, it sends a message. No news is considered bad news in an urgent situation that requires your immediate response.
How many times did you make the conclusion that the person on the other end might be busy with other more important stuff or even worse disinterested or distracted because you haven’t gotten the response right away on the critical matter as you expected?
Some experts will advise you to send auto responses like, “I check my inbox 3 times a day, and will get back to you promptly.” These ideas may work in some situations, but how will your clients or senior management colleagues feel when they see this auto notification response from you on their important matters?
InboxMind pro-actively informs you as soon as important email arrives. And it offers 5 level of sophisticated priority system in accordance with the productivity best practices: Very High priority (VH), High priority (H), Medium priority (M), Low Priority (L), and Someday Priority (SD). InboxMind automatically learns your priority but you are always in control. You can change priority of an email with a simple tap to meet your needs and preferences.
The InboxMind prioritization systems acts a smart decision-support system when you have hundreds of emails to review and respond in a very limited amount of time – so whenever you get a few minutes between your meetings, you can quickly respond to the Very High and High Priority emails first. You can also mark an email for action “Today”. Then whenever you get some time, go to your ‘Actions Due Today’ and respond back.
This way your mind is clear, you get more done and you stay in full control.
Figure 9: InboxMind view is easily configurable. During busy hours, you may want to focus on only Very High and High Priority Email (sorted by Priority or time received)

5. Use auto-signature to increase communication effectiveness
Auto-signature is a must have when you are responding on your iPhone. But the trick here is to add some more information to save you from typing and also let the recipient know the reason you are so abbreviated in your response ( because you are not in front of your PC and instead are typing from a mobile phone). Chances are that recipient is also going to read it on a small screen of his mobile phone. So don’t make your signature it too bulky that it takes half the screen.
You may want to mention your mobile phone for the recipient to call you if this is an urgent matter. When writing your phone, use the standard phone number format: + country code (area code) xxx-xxxx . You want the mobile device to recognize your phone number as a valid phone number, so the recipient can call you by simply tapping on the phone number hyperlink. After you set your auto signature, draft a new message and see how your auto-signature appears. Try to fit the text in three or less lines and click on the hyperlink phone number to test if your phone is dialing the number accurately.
For example, in InboxMind you may set your auto signature as:
Regards, John +1 (646) 111-2222 (cell) sent from mobile, please excuse the brevity
